Conference and event coordination

When reception becomes the focal point for meetings and events

On many hotels and companies, the receptionist role grows together with coordinating meetings, conferences, and events. In some places, there is a dedicated conference coordinator, but in smaller companies, it is often reception that solves the task alongside daily guest service.

§From enquiry to confirmed booking

En konferenceforespørgsel starter typisk med en henvendelse om antal deltagere, dato og formål. Du skal kunne matche behovet med de rigtige lokaler, finde ud af, hvilken forplejning der passer, og give kunden et klart og retvisende tilbud.

  • 01Clarify number of participants, date, duration and budget
  • 02Match the need with the right meeting room and setup (theatre horseshoe u-shape)
  • 03Arrange catering — coffee, lunch, dinner
  • 04Confirm technical equipment — projector, sound, wifi, microphone

§Up to the day

In the days leading up to an event you coordinate with kitchen cleaning and technical staff so everything is ready. Good communication across departments is crucial — you have the overall picture even though others solve parts of the task.

PhaseReception's task

ConfirmationSend written confirmation with all details

Follow-upSend invoice and possibly evaluation follow up on customer satisfaction

§During the actual event

When guests arrive, it's often reception that welcomes them and guides to the right room. You need to handle sudden changes—a forgotten cable, a late participant, or a request for extra coffee—without it affecting the rest of the house's operations.

A successful meeting is as much about what guests don't notice as what they do.
