Systems and programmes in the office
Office suite, case management systems, and digital mail
Office work is digital, and you are expected to know your tools well. The better you master them, the faster and more accurately you work — and the more energy you have for the people around you.
§Word processing and spreadsheets
You use word processing for letters, minutes, and reports — learn to use templates and typography so your documents look professional and are consistent. You use spreadsheets to keep track of numbers, make lists, and do simple calculations. Being able to do one formula and a simple overview saves you an incredible amount of manual work.
§E-mail and calendar
E-mail and calendar are your nervous system. Learn to organize your inbox so you don't lose important messages and actively use the calendar to remember deadlines and meetings. A well-organized system makes you reliable.
§Case systems
Most workplaces have a case management system where cases are created, documented and closed. In the public sector you work in, for example, case and document management systems; in the private sector maybe an accounting or ERP system. Learn the logic of the system: where do you create a case, how do you register it and how do you find an old case again?
- 01Create and register cases correctly
- 02Attach and name documents logically
- 03Set deadlines and follow up
- 04Find previous cases quickly
§Digital mail and archiving
Much communication takes place as digital post, and archiving is done digitally. You must know the rules for what should be stored, how long, and how it should be named so it can be found again. Good archiving is not about storing everything — it is about storing the right things in the right way.
