Quality management systems — ISO 9001, HACCP and traceability in practice

The formal systems behind the quality you control every day on the line

The regulation for industrial operator training requires that you can use quality management systems in connection with daily production, and that you can later in training assess the quality of different quality management systems. The controls you perform at the line — measurement, weighing, visual inspection — are in practice part of a larger, formal system that the company is obliged to follow.

§What is a quality management system?

A quality management system is a comprehensive framework of procedures responsibility and documentation that must ensure a company delivers consistent quality regardless of who performs the task or when it is performed. The most internationally recognised framework is ISO 9001 developed by the International Organization for Standardization ISO and published in Denmark as DS/EN ISO 9001:2015 by Danish Standards. Since the 2015 edition the standard follows the same overall structure (High Level Structure) as other management standards and a risk-based approach is central: the company must systematically assess risks and opportunities that may affect quality.

§ISO 9001 in practice on the floor

For you as an operator ISO 9001 rarely appears as the standard text itself but as the concrete procedures you follow every day: fixed workflows for how a task should be carried out clear rules for how a deviation is recorded and handled control of which version of an instruction applies right now and regular internal and external audits where someone checks that what actually happens on the floor matches what is described.

§HACCP — the quality system for food

In food production the requirement is more specific: according to the Food Authority's guideline on self-control in food businesses, the company's self-control programme must be based on HACCP principles (Hazard Analysis Critical Control Points). This means that the company must systematically analyse where in the process there is a risk of hazards, and establish either good working practices (Good Manufacturing Practice, GMP) or specific critical control points (CCP), which must always be documented. As an operator, it is often you who in practice monitor and record these critical points — for example a temperature that must be kept below a certain limit.

§Traceability and recall

Both ISO 9001 and HACCP require traceability: the ability to follow a product back to the raw materials, facility and shift it was produced under. Without that documentation a company cannot limit a recall to the actually affected goods but must in the worst case withdraw an entire production run. Batch and lot numbering, time-stamped inspection records and clear procedures for what is documented when are what make traceability possible in practice.

§Why the operator must be able to assess the systems, not just follow them

The regulation's requirement that you can assess the quality of different quality management systems goes further than just performing the checks correctly. It is about understanding why a system is built the way it is, seeing where it works well, and being able to point out where a procedure in practice does not catch the errors it should. That understanding enables you to contribute constructively when the system is to be updated or improved — instead of just filling in a form because the instructions say so.

A quality system protects only what it is actually used to control.
